Job Title: Executive Assistant

Location: Newtown Square, PA 19073 - Hybrid

Duration: 6 Months (Extension/Conversion will be based on performance)

Pay Rate: ($24-$25) hourly

Key Responsibilities:
  • Oversee ongoing correspondence and manage the daily agenda of the Managing Director and Regional Vice Presidents. This includes scheduling meetings, appointments, and travel arrangements, as well as managing the overall calendar of events, and critical timelines, and resolving time management and scheduling conflicts.
  • Partner closely with S/4HANA Cloud Public Edition leadership and other cross-brand team leaders to coordinate pre-reads and briefing materials for meetings, ensuring easy access to these materials via calendar placeholders.
  • Maintain and organize files, documents, and records with the utmost confidentiality and efficiency.
  • Coordinate and manage logistics, invitations, IT requirements, and materials for various engagements and assist in planning and execution as needed.
  • Communicate and coordinate effectively with team members, clients, and partners. Act as a liaison with other departments and external stakeholders to ensure smooth collaboration.
  • Work closely with the office to plan and document travel itineraries, accommodations, and transportation to ensure seamless travel experiences.
  • Process and track expense reports, ensuring they comply with company policies and are submitted in a timely manner.
Qualifications:
  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  • Minimum of 3-5 years of experience working with global teams in a fast-paced environment.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Adept in SharePoint (folder creation, links, authorizations).
