Job Description:
A member of the Integrated Marketing team for US Institutional, Canada and Latin America, the Operations Specialist will support the Operations team on day-to-day activities to increase efficiency across the wider team. Responsibilities stretch across a dynamic spectrum of focus and entails strong collaboration with regional teams and broader senior management.  
 
Organizational Excellence: Assist Operations lead in identifying opportunities to improve governance models, processes and controls, vendor optimization, protocol adherence, and team culture across the regional Marketing organization.
  • Identify inefficiencies and optimize processes by systematically evaluating current workflows, pinpointing bottlenecks, and implementing solutions that streamline operations, enhance productivity, and drive continuous improvement across the Marketing team.
  • Help develop and strengthen governance and control procedures to accelerate growth in our business and reduce operational risk.
  • Conduct vendor performance evaluations to identify consolidation opportunities with the goal of achieving cost savings through strategic negotiation and leveraging economies of scale
  • Facilitate the team’s adherence to organizational protocols by ensuring timely awareness and compliance with annual housekeeping activities, including objective setting, mandatory trainings, and other firm-imposed requirements, fostering a culture of accountability and operational excellence.
  • Enable talent and enhance team culture by connecting the team with firm-wide resources that support well-being and promote diversity, equity, and inclusion (DEI), ensuring access to initiatives that contribute to personal and professional development.
Business Management: budget and headcount
  • Assist with the monthly finance forecasting and reporting process to actively update the budget Support the management and prioritization of headcount and monitor status of open headcount roles across the region.
Strategic Initiatives: Support the Marketing Operations lead in planning for and organizing strategic forums, organizational communications, and more.
  • Support planning and ensure execution of annual strategy planning, regional forums, committees, townhalls, offsites, and more.
  • Assist in the organizing and writing of effective communications, meeting preparation, and takeaways/follow-ups.
  • Create a common network across regional client business COO & Strategy teams, actively seeking opportunities to develop team members, share best practices and leverage each other.
Skills:     
  • Pro-active, self-starter with ability to organize, prioritize and execute multiple projects across multiple stakeholders simultaneously in a deadline-driven environment
  • Exceptional verbal and written communication skills, demonstrated through excellent interpersonal skills
  • 1-3 years of experience
Education: Bachelor's degree required
