Job Comments

This role will be onsite, 5 day a week, no option to work remotely. The team is small and is responsible for the shooting of all eyewear and marketing for for the client. This role will serve as an assistant to one of the photographers. Attention to detail is MOST important! They will be organizing color kits, taking demands from many different parts of the business, pulling and looking for specific frames at a moment's notice, conducting routine tasks in excel. They will be reading the tiny print on frames and ensuring the spreadsheet details are all in line and up to date. They will also handle requests for charity donations.

JOB DESCRIPTION

  • With general supervision, provides routine administrative support to department.
  • Creates and edits correspondence, presentations, and reports from rough drafts to completion ensuring accuracy of spelling, grammar, etc.
  • Screens telephone calls and route to the appropriate department/person
  • Opens, reviews and distributes mail throughout the department to ensure mail is received by addressee
  • Maintains department's records/files to ensure accurate record keeping, security, and confidentiality of files
  • Maintains calendar(s), schedules meetings and appointments, and arranges travel and hotel accommodations as necessary to ensure effective time management
  • Performs confidential administrative functions such as assembling reports or proposals for staff, customers, or outside agencies
  • Maintains and orders department's office supplies, forms, brochures, and/or advertising/sales materials Job Specifications

Typically has the following skills or abilities:

  • One to two years of administrative experience with at least one year providing Administrative support
  • Demonstrated ability to successfully perform multiple tasks in a fast-paced environment Type 30 wpm
  • Proficient with MS Word
  • Working knowledge of MS Excel and PowerPoint
  • Knowledge of desktop publishing
  • Strong verbal and written communication skills
  • Ability to type, proofread, revise, and edit up to 75% of the time
  • Monitor and track expenses within budget guidelines
