About the Role
- We are seeking an Administrative Business Partner to join our team in the Investment Administration Support department.
- This role is essential for managing the daily operations and providing administrative support to senior leaders.
- The ideal candidate will demonstrate flexibility, problem-solving abilities, and a proactive approach to ensure seamless operations.
Responsibilities
- Manage and adjust daily calendars for senior leaders, prioritizing schedules based on last-minute changes.
- Arrange and reserve conference rooms, catering, audio/video, and other services for meetings and conferences.
- Coordinate travel arrangements and efficiently submit expense reports.
- Drive key team activities and events, including team meetings, strategy sessions, conferences, ordering supplies, and social events.
- Handle tasks proactively and efficiently to ensure seamless coverage for all supported staff.
- Build and maintain strong business relationships with executives and administrative staff across the organization.
- Complete ad hoc administrative requests in a timely and detailed manner.
Education Qualification
- A minimum of 5 years of administrative experience, preferably in a large global organization within the financial services industry.
Required Skills
- Ability to work independently and take on additional responsibilities as needed.
- A positive and 'can-do' attitude with a desire to provide outstanding service to internal and external clients.
- Ability to maintain focus with a sense of urgency while respecting others.
- Proven track record of managing competing priorities and meeting tight deadlines.
- Excellent communication skills, both written and verbal.
- Strong computer skills, including proficiency in MS Word, Excel, PowerPoint, and Outlook.
- High level of attention to detail.
- Discretion in handling confidential information in all aspects of work.
