About the Role

  • We are seeking an Administrative Business Partner to join our team in the Investment Administration Support department.
  • This role is essential for managing the daily operations and providing administrative support to senior leaders.
  • The ideal candidate will demonstrate flexibility, problem-solving abilities, and a proactive approach to ensure seamless operations.

Responsibilities

  • Manage and adjust daily calendars for senior leaders, prioritizing schedules based on last-minute changes.
  • Arrange and reserve conference rooms, catering, audio/video, and other services for meetings and conferences.
  • Coordinate travel arrangements and efficiently submit expense reports.
  • Drive key team activities and events, including team meetings, strategy sessions, conferences, ordering supplies, and social events.
  • Handle tasks proactively and efficiently to ensure seamless coverage for all supported staff.
  • Build and maintain strong business relationships with executives and administrative staff across the organization.
  • Complete ad hoc administrative requests in a timely and detailed manner.

Education Qualification

  • A minimum of 5 years of administrative experience, preferably in a large global organization within the financial services industry.

Required Skills

  • Ability to work independently and take on additional responsibilities as needed.
  • A positive and 'can-do' attitude with a desire to provide outstanding service to internal and external clients.
  • Ability to maintain focus with a sense of urgency while respecting others.
  • Proven track record of managing competing priorities and meeting tight deadlines.
  • Excellent communication skills, both written and verbal.
  • Strong computer skills, including proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • High level of attention to detail.
  • Discretion in handling confidential information in all aspects of work.
