Job Title: Administrative and Events Coordinator
Location: Palo Alto, CA 94305 (Onsite)
Duration: 06 - 12 Months - (High potential of Extension/Conversion based on performance)
Pay Rate: ($23-$26) hourly
 
About the Role:
  • The primary role will be to provide general administrative assistance for the department; handle phone calls, emails, and other correspondence relating to events.
Key Responsibilities:
Administrative Support
  • Provide general administrative assistance to the Event Operations team
  • Handle incoming phone calls, emails, and event-related correspondence
  • Support pre- and post-event administrative tasks, including documentation and follow-up
  • Maintain organized records and assist with scheduling and reservations
Event Planning & Coordination
  • Assist with the design, planning, implementation, and coordination of events
  • Prepare event materials such as name tags, badges, signage, and printed materials
  • Organize and manage event supplies and setup logistics
  • Learn and utilize department reservation/scheduling systems and related applications
Event Day Support
  • Support event execution, including registration, guest check-in, and event “floating.”
  • Serve as a point of contact for event guests, speakers, hosts, faculty, and stakeholders
  • Provide hospitality support and ensure a positive event experience
  • Troubleshoot issues calmly and professionally in a fast-paced environment
Team & Stakeholder Collaboration
  • Collaborate with Event Operations staff, clients, and campus partners
  • Communicate clearly and professionally with internal and external stakeholders
  • Contribute to team decision-making related to event logistics and execution
Required Qualifications & Skills
  • Experience supporting events, or a strong willingness and ability to learn quickly
  • Ability to work independently as well as collaboratively within a team environment
  • Strong organizational skills with keen attention to detail
  • Ability to manage multiple, shifting priorities and time-sensitive tasks
  • Excellent interpersonal, communication, and customer service skills
  • Sound judgment, problem-solving ability, and initiative
  • Ability to follow directions and execute tasks consistently and accurately
  • Professional demeanour with confidence, interacting with guests and senior stakeholders
  • Proficiency with office software and email applications (e.g., Workspace)
  • Willingness to learn internal scheduling, reservation, and event management systems.
