Human Resources Coordinator / Administrative Assistant 

Location: Downtown Chicago, IL 
Duration: 6-month contract (extension possible)
Schedule: 32 hours/week | 4 dayz onsite

Pay Range: $20-25/hr 

About the Role:

We are seeking a Human Resources Coordinator / Administrative Assistant to support a regional HR organization across multiple functions including HR Leadership, Operations, Talent Development, and Talent Acquisition. This role focuses on administrative support, coordination, reporting, and program logistics, and is ideal for someone who enjoys working in a fast-paced, collaborative HR environment.

Key Responsibilities:

  • Provide administrative support to HR leadership, including scheduling, travel coordination, expense reporting, and meeting logistics
  • Support HR events, town halls, and learning sessions, including presentation and material coordination
  • Manage HR invoice processing and vendor billing
  • Coordinate HR leader onboarding/offboarding workflows and movement tracking
  • Support HR communications, reporting cycles, and content coordination
  • Compile and distribute HR and Talent Development reports (IDPs, check-ins, compliance training, leadership programs)
  • Maintain HR and Talent Development databases and trackers
  • Support leadership and development program logistics, surveys, and assessments
  • Assist with Talent Acquisition reporting and program tracking
  • Independently manage daily priorities, recommend process improvements, and handle sensitive information with discretion

Experience & Qualifications:

  • 2–4 years of experience in HR coordination, administrative support, or HR operations
  • Experience with scheduling, reporting, invoice processing, or program coordination preferred
  • Strong proficiency in Msft Excel, PowerPoint, and Outlook
  • Experience with HR systems is a plus
  • Excellent organizational, time management, and communication skills
  • High attention to detail and ability to handle confidential information
