Description
The Intake Specialist supports pharmacy operations by managing incoming patient documentation related to assistance program applications. This role focuses on organizing, scanning, and routing physical and electronic documents into internal systems so they can be processed by downstream teams. The position plays a critical role in ensuring documentation is accurately captured and available for case review. The role requires strong attention to detail, the ability to manage multiple administrative tasks, and comfort working with computer systems in a structured office environment.
 
Must Haves
  • High school diploma or equivalent
  • 1–3 years of experience in an administrative, office, or data entry environment
  • Strong computer proficiency and ability to scan and manage documents electronically
  • Strong attention to detail and organizational skills
  • Ability to work independently with minimal supervision
  • Good written and verbal communication skills
  • Strong time management and ability to handle multiple tasks
Day to Day
  • Open and review incoming mail containing patient applications and related documentation.
  • Scan documents and upload them into internal systems for processing.
  • Associate and organize documents with the correct patient records in the system.
  • Enter key information such as patient demographics, physician details, insurance data, and application information into the system when required.
  • Ensure all documentation is scanned and available in the system within required timelines.
  • Manage prescriptions and applications received through fax systems.
  • Handle returned mail and reprint applications when needed.
  • Fold and prepare printed materials for outgoing mail.
  • Print case documentation and assist with print corrections when required.
  • Maintain printer room supplies including paper and ink.
  • Provide email updates to leadership regarding daily workload status.
  • Collaborate with internal teams to ensure documentation is available for triage and further processing.
  • Support administrative tasks and special projects related to documentation management when needed.

  • Experience with Salesforce or similar CRM systems

  • Medical records or document management experience
  • Exposure to healthcare or pharmacy environments
  • Pharmacy technician background or certification
