Job Description:
  • The Operations Support Specialist plays a critical role in ensuring the smooth functioning of various operational processes within the organization, primarily focusing on depository services, asset servicing, risk management, invoicing, and overall operations support.
  • This role demands meticulous attention to detail, strong analytical skills, and a proactive approach to problem-solving.
  • The incumbent will collaborate closely with different teams to streamline processes, mitigate risks, and optimize operational efficiency.
Key Responsibilities:
Depository Services:
  • Facilitate the depository process by accurately processing incoming and outgoing securities, ensuring compliance with regulatory requirements.
  • Monitor and reconcile depository accounts to identify discrepancies and resolve them promptly.
  • Liaise with external parties, such as depository banks, to address issues and optimize service delivery.
Asset Servicing:
  • Support asset servicing operations by managing corporate actions, including dividends, stock splits, mergers, and acquisitions.
  • Coordinate with relevant stakeholders to ensure timely and accurate processing of asset servicing events.
  • Conduct reconciliations to verify the accuracy of asset servicing transactions and resolve any discrepancies.
Risk Management:
  • Assist in identifying, assessing, and mitigating operational risks associated with various processes.
  • Monitor risk indicators and report any anomalies or potential risks to the appropriate stakeholders.
  • Participate in risk assessment exercises and contribute to the development of risk mitigation strategies.
Invoicing:
  • Generate invoices accurately and in a timely manner, reflecting the services provided and any associated fees.
  • Verify invoice details to ensure completeness and accuracy before distribution to clients.
  • Address client inquiries or discrepancies related to invoices and work towards timely resolution.
Operations Support:
  • Provide operational support across various functions, including trade settlement, fund administration, and client onboarding.
  • Collaborate with internal teams to streamline processes, identify areas for improvement, and implement solutions.
  • Maintain documentation and standard operating procedures (SOPs) to ensure consistency and compliance with best practices and regulatory requirements.
Skills and Qualifications:
  • Bachelor's degree in finance, business administration, or a related field.
  • Previous experience in operations support roles within the financial services industry, with a focus on depository services, asset servicing, and risk management preferred.
  • Strong understanding of financial markets, securities operations, and regulatory requirements.
  • Excellent analytical and problem-solving skills, with the ability to identify issues and implement effective solutions.
  • Meticulous attention to detail and accuracy in data analysis and processing.
  • Proficiency in using financial software and systems for data management and analysis.
  • Effective communication skills, with the ability to collaborate with cross-functional teams and communicate complex concepts clearly.
  • Proactive mindset with a willingness to take initiative and drive process improvements.
  • Ability to work under pressure and manage multiple tasks simultaneously while adhering to deadlines.
