Title:            Operations Coordinator (Admin Assistant)
Location:     Chandler, AZ 85286 (HYBRID)
Duration:    12 Months
PayRange:  $19 - 21/hr.
 
Description:
  • Prepares and processes purchase orders and requisitions for internal customers within the market Materials and services alike.
  • Facilitates approval of invoices and processes them within the appropriate system.
  • Tracks material inventory by means of Excel Tracker.
  • Conducts semi-annual physical counts of materials at the General Contractors’ yard
  • Manages material movements and use across assigned projects.
  • Updates necessary tracking system(s) daily and with accurate data.
  • Analyzes project data using PowerBI and internal Excel templates.
  • Develops and maintains accurate and complete files for projects and programs; continues to monitor for integrity and completeness.
  • Attend project meetings to prepare for upcoming project needs and aid in the support of those tasks.
  • Identify added project costs with the local team to determine forecast changes.
  • Manages repository of project documents and maintains organization and accuracy.
  • Communicates all issues to management prior to reaching critical status.
  • Vendor management, where applicable.
Education/Certifications
  • High school diploma or equivalent
  • Associate degree or (2) years of equivalent work experience preferred
Experience/Minimum Requirements
  • Two (2) years of related experience
  • Excellent organizational/administrative skills
  • Strong, MS Office skills (Excel, PowerPoint, Word)
  • Ability to multi-task in a fast-paced environment
  • Strong verbal and written communication skills
Other Skills/Abilities
  • Computer skills using MS Office and ability to learn a variety of tracking and project management software
  • Excellent organizational/administrative skills
  • Strong interpersonal skills
  • Ability to thrive in a dynamic problem-solving environment
Travel:
  • Around once per quarter will travel to the Seattle area. Please ensure your candidate can meet this requirement. Will go to local field sites.
