Day to day:

  • Provides administrative support to Associate General Counsel, Senior Vice President of Origination and other commercial and regulatory team members for the Western Region.  
  • Performs a variety of functions with regard to contracts, commercial, regulatory and legal documents, including word processing, proof reading, processing for execution and transmitting. 
  • Prepares engagement letters for outside counsel and process AP invoices for legal and commercial teams. 
  • Maintains records and files for projects and ensures company records are properly saved pursuant to document management policy.  
  • Answers and screens telephone calls, takes messages. 
  • Processes daily incoming and out-going mail. 
  • Manages calendars, coordinates meetings, books travel arrangements, and plans events. 
  • Maintains and organizes department and project files. 
  • Prepares a variety of reports and expense reports frequently using applications such as Word, Excel and PowerPoint.  
  • Prepares Federal documents.  
  • May handle a wide variety of situations.

Must Haves: 

  • Enthusiastic, with a strong positive attitude.
  •  Highly skilled. Extensive knowledge of the job and company policies to perform a wide range of advanced tasks.
  • Top expert on software, tools and organizational processes. Power user of department-specific software.
  • With limited guidance, prioritizes and executes responsibilities; checks own work and possibly the work of others.
  •  Decisions are of moderate to advanced scope and impact administrative operations of the department or department deadlines.
  • Exercises discretion and judgment, and prioritizes requests from multiple departments and/or functions; regularly required to adapt procedures, processes and techniques.
  • Works on complex assignments requiring considerable judgment and initiative.
  • Works under limited guidance.
  • Acts independently to determine methods and procedures on new assignments. May provide skills training and direction to others.
  • Regularly works with sensitive and confidential information.
  • Contacts are both internal and external, may be required to represent management and coordinate complex activities/projects.
  • Associate’s Degree, Technical/Business School or equivalent.
  • Typically requires minimum 7 years’ experience, including advanced support skills and extensive knowledge of tools, software and other technologies.

 Salary upon conversion: 75-95K base
